Privacy policy
Sparkmaster Pty Ltd, ABN 92 145 261 070 Last updated: 29 October 2026
1. Who we are
Sparkmaster Pty Ltd ("Sparkmaster", "we" or "us") is an electrical contractor in Sydney. We also provide SparkMaster OS, a system that runs office tasks for other trade businesses.
This policy explains what personal information we collect, why, who we share it with, where it goes, how we protect it, and how you can see it, correct it or complain.
Where the Privacy Act 1988 (Cth) applies to us, we comply with the Australian Privacy Principles. We also aim to handle personal information consistently with these principles across our business.
2. Who this policy covers
- People who contact us, ask for a quote, or have electrical work done by us, including tenants, landlords, property managers and strata managers.
- People who visit our website or respond to our advertising.
- Businesses that use SparkMaster OS, and the people who work for them.
- Customers of businesses that use SparkMaster OS. When we run SparkMaster OS for a business, we handle its customers’ information for that business and on its instructions. That business’s own privacy policy also applies, so its customers may wish to contact it first.
- Our suppliers, contractors and job applicants.
This policy does not cover employee records about our current and former employees, to the extent the Privacy Act’s employee records exemption applies. Staff information that falls outside that exemption is covered.
3. What we collect
- Contact details: name, phone number, email address, and the address of the property where the work is done.
- Job details: the work needed, photos of the work, quotes, job notes, invoices, payments and amounts owing, and the findings of the free safety check we do on a new customer’s first visit (switchboard and smoke alarms).
- Messages and calls: texts, emails and website enquiry forms. Calls to our business numbers may be recorded and transcribed. Where a call is recorded, callers are notified at the beginning of the call.
- Reviews: reviews you leave us on online review sites, and our replies.
- Website and advertising: which ad, search or page brought you to us. Our website uses cookies and tracking tags, including from advertising and analytics providers, to do this.
- For businesses that use SparkMaster OS: business contact details, the people who use the system, the account access the business gives us, and billing details.
- Payment details: whether you are an electrical customer or a business using SparkMaster OS, card and bank details are generally processed and held by the relevant payment provider, not by Sparkmaster.
- Suppliers and contractors: contact details, invoices, and the licences and insurance details we need to keep on file.
- Job applicants: the details in your application, and what referees you name tell us.
We do not generally seek sensitive information. If you voluntarily provide health or other sensitive information that is relevant to electrical work — for example, information about life-support equipment — we use it only where reasonably necessary to safely provide our services or meet our legal obligations.
4. How we collect it
- From you: when you call, text, email, fill in a form on our website, apply for a job, or talk to us on site.
- From others: a property manager, strata manager, landlord or agent who books work for you; a business that uses SparkMaster OS, for its own customers; review and advertising platforms, for reviews and ad clicks; and referees you name.
- Automatically: through cookies and tracking tags on our website.
If you don’t give us the information we need, we may not be able to quote or do the work.
5. Why we collect it and how we use it
- To answer enquiries, quote, book, do and invoice work, and follow up.
- To send messages about your job: confirmations, quote and invoice texts, booking reminders, follow-ups, overdue-invoice reminders and review requests.
- To keep the records the law requires, such as tax and electrical safety records.
- To see which advertising brings in work, so we can spend on the ads that do.
- To tell you about our services, where the law allows. You can opt out at any time (section 13).
- To consider job applications.
- For SparkMaster OS: to set up and run the system for each business, support it and bill for it. We use a business’s customer information only to run and support the system for that business. We do not use it for our own marketing or for another SparkMaster OS customer’s purposes. We only disclose it to the service providers required to operate and support the system, where required by law, or as otherwise authorised by the business.
We don’t sell personal information.
Job photos. We may take photographs of electrical work for job records, safety documentation and quality assurance. We will not use photographs containing identifiable people, house numbers, street signs or other information that could reasonably identify a customer or property for marketing or social media without appropriate permission.
6. How we use AI
We use AI to assist with some administrative and office functions, and SparkMaster OS may use AI to assist with office tasks for businesses using the system. Relevant personal information may be processed by AI services when those services assist with tasks such as summarising calls, preparing draft replies or quotations, responding to reviews, or assisting with administrative workflows.
The AI services we use handle information under their own terms for business customers.
For businesses using SparkMaster OS, AI services may operate through that business’s own account or arrangement with the AI provider, where applicable.
7. Automation in SparkMaster OS
SparkMaster OS, which may also assist with our own office administration, can automate certain routine administrative tasks. The system follows workflows and rules configured by a person — either Sparkmaster for our own operations or the business using SparkMaster OS for its operations. It uses contact details, job details, messages and payment details. Not every business uses every available function.
Examples of automated administrative functions may include:
- sending enquiry confirmations, quotation and invoice messages, reminders and follow-ups;
- stopping follow-ups when a customer books, pays, responds or declines;
- answering routine enquiries;
- sending review requests and assisting with replies;
- sending overdue-account reminders;
- creating job records after a customer’s quotation acceptance has been received, or when an authorised property manager, strata manager or other client sends a work order;
- identifying matters that require a person to review or follow up.
The system may also assist a person by:
- preparing draft quotations using an approved price book;
- suggesting available booking times and identifying scheduling clashes;
- preparing draft quotations from electrical safety findings;
- drafting responses relating to pricing, timing, complaints or reviews.
A person remains responsible for decisions about pricing, final quotations, complaints, significant account or debt action, and other matters that may significantly affect a person’s rights or interests.
8. Who we share it with
- Our service providers, who help us run our business and SparkMaster OS. These include providers of job management software, email and file storage, accounting software, call recording and tracking, texting, AI, hosting, automation and payments, and online review, business listing and advertising platforms. We use service providers that are subject to contractual, privacy and security obligations governing their handling of personal information.
- Advertising platforms. When a job is paid, we may tell the advertising platform which ad led to it, so our ads reach more people who need an electrician. This may include contact details in a scrambled (hashed) form. A business that uses SparkMaster OS for its advertising may do the same for its own ads.
- The person who arranged the work, such as a property manager, strata manager or landlord, who receives job updates and invoices.
- For SparkMaster OS: a business’s customer information is kept separate from other SparkMaster OS customers and is only made available to that business and the service providers required to operate and support its system.
- Our professional advisers and insurers, when they need it.
- Government bodies and others, when the law requires or allows it, or with your consent.
9. Information sent overseas
Some of our service providers are based overseas, or store or process information overseas. This currently includes the United States, and may include other countries where our providers or their own suppliers operate. You can ask us which countries are currently involved, using the contact details in section 15.
10. Keeping it secure, and how long we keep it
- We take reasonable technical and organisational steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.
- Access to personal information is limited to people who need it for their work, and we use measures such as two-step sign-in.
- SparkMaster OS is designed to segregate each business’s information and restrict access to authorised users.
- We use the access a business gives us only to run its system, and the business can take that access back at any time.
- We keep information for as long as we need it for the purposes in section 5, or as long as the law requires, then delete it or remove what identifies you.
- When a business stops using SparkMaster OS, we switch off its system and remove our access. Its customers’ information stays in the business’s own systems.
11. If something goes wrong
If we learn that personal information we hold has been lost, or seen or shared without permission, we act straight away to contain it and work out the risk. If it is likely to cause serious harm, we tell the people affected and the Office of the Australian Information Commissioner (OAIC), as the Notifiable Data Breaches scheme requires.
If it involves information we handle for a business that uses SparkMaster OS, we tell that business as soon as practicable and work with it to assess and respond to the incident, including notifying affected individuals or regulators where required.
12. Seeing and correcting your information
You can ask to see the personal information we hold about you, or ask us to correct it, using the contact details in section 15. It is free to ask. We will respond within a reasonable period and generally aim to respond within 30 days. If we can’t give you access or make a correction, we’ll tell you why in writing and how to complain.
If you are a customer of a business that uses SparkMaster OS, you can also ask that business directly. If you ask us, we’ll pass your request to the business and help it respond.
13. Marketing messages
We send commercial electronic messages only where we have consent or are otherwise permitted by law. Marketing messages include a simple way to opt out, such as replying STOP to a text or using the unsubscribe link in an email. Opting out of marketing does not prevent us from sending operational messages relating to a booking, quotation, work in progress, payment or an outstanding account.
14. Complaints
If you think we have mishandled your personal information, please tell us in writing, using the contact details in section 15. We’ll look into it and generally aim to give you our answer within 30 days.
If you’re not satisfied with our answer, you can complain to the OAIC:
